Deleting Messages in Web Mail
Question --------
We are having problems deleting our email messages.
Messages were deleteed and moved to the Trash folder of the web mailbox, but continue to "appear" even after several tries and
as of this moment many staff members' Mail Boxes are filling-up very quickly
and might not be able to accept any more mail.
Answer ------
Verify that users are not only moving the messages to the trash
folder, but that once the message is moved to the trash folder, the
user:
1 - Opens the Trash Folder and clicks on the Empty Trash link OR
2 - Clicks on the LogOut button to empty the trash
If they move messages to the trash but do not also do either of these steps, the messages in the trash will remain.
Web Mail User Session Expires
For
security purposes, the Web Mail user session will expire (logout) after
2 hours of inactivity. When this occurs, any unsaved changes may be
lost.
Tip: If you are using Web Mail on
a public computer, be sure to choose Logout, and exit/quit the web
browser after you are done using Web Mail.
Web Mail May Conflict With Adware
Adware,
software that replaces advertisements with its own, may interfere with
Web Mail. To check your Windows system for adware, you can download a
free utility such as Ad-aware from Lavasoft.
Spybot
Search & Destroy by PepiMK Software also scans for spyware,
software that allows a stranger to remotely monitor and control your
computer.
Mac OS users can download SecureMac.com's MacScan although the Mac OS is generally not targeted by adware or spyware.
Web Mail Password Change
Web Mail can be used to change the login password for all of the following services:
Web Mail
IMAP
POP
SMTP
To change the user login password via Web Mail:
Login to Web Mail.
Choose Options.
Choose Password.
Enter your Old Password - This is the password used in the first step.
Choose a New Password - The password must contain at least 6 characters. It cannot be the same as the Old Password.
Re-enter New Password - Re-type the password used in the previous step to verify that it is correct.
For New Password Question, enter a unique question that only you know the answer to. This question will be asked when a password reset is requested.
For New Password Answer,
enter the answer to the question entered in the previous step. This
answer will be required when a password reset is requested. (Note that
the Password Answer is case sensitive.)
Choose Save.
Web Mail Set Time Zone
Web Mail can use the local time zone. To set the local time zone:
Login to Web Mail.
Choose Options.
Choose Preferences.
From the Time Zone menu, choose the local time zone.
Choose Save.
Web Mail Message Send Rate
To protect users from abuse, Web Mail has an allowance on the number of messages that can be sent:
• 600 messages a day (24 hours) per user
• Per message: 300 total recipients (100 To, 100 CC, 100 BCC), or 50
total recipients under a single domain not to exceed 2,000 header
characters (spaces included)
Web Mail Folder Properties
Web Mail Folder Properties allow the user to control attributes specific to a folder:
(Nested folders do not inherit Folder Properties from their parents.)
Folder Janitor You will find the Folder Janitor by clicking on the small magnifying glass under Folders View
The Folder Janitor can keep folders organized using up to 3 different criteria:
1. Empty folder after Web Mail logout.
When this box is checked, the Folder Janitor will permanently delete
enclosed messages after a user initiated Web Mail logout. This property
is exclusive to the Spam and Trash folders.
2. Delete messages over n days old.
When this box is checked, the Folder Janitor will permanently delete
enclosed messages that have reached a specified age (e.g. 30 days old).
3. Delete messages once folder exceeds is n% of mailbox quota.
When this box is checked, the Folder Janitor will permanently delete
enclosed messages—based on the time the message was put in the
folder—to keep the folder size within a specified percentage (e.g. 5%)
of the overall mailbox size.
The Folder Janitor is completely disabled for a specific folder when all checkboxes are unchecked, and Saved.
Web Mail Email Rules
Email Rules
work tirelessly around the clock to automate repetitive tasks such as
filing a newsletter into a folder. They're easy to setup (under Options),
and they work with all email programs—simultaneously. Like IMAP, Email
Rules stay synced everywhere, and are invulnerable to PC crashes. Email
Rules are great for Treo too! Web Mail And Large Text Attachments
Most
web browsers are set to open plain text files within the browser by
default. Thus, text file attachments are typically loaded by Web Mail
in the browser.
Under certain circumstances, text
file attachments that are large in size may not load within the web
browser's default allotted time before the connection is closed. Large
text file attachments can be opened by first downloading the attachment
to the local computer.
• Apple Safari – Control-click on Save, and then choose Download Linked File... from the contextual menu.
• Microsoft Internet Explorer – Right-click on Save, and then choose Save Target As... from the contextual menu.
• Mozilla Firefox – Right-click (Windows), or Control-click (Mac OS) on Save, and then choose Save Link As... from the contextual menu.
Any
program that can read a plain text file should be able to open the
downloaded text file, including Microsoft NotePad and Apple TextEdit.
